This Privacy Policy explains how SharePoint Designs operates through its legal entities:

  • Trimjourney Private Ltd, incorporated in India
  • SharePoint Designs LLC, incorporated in the United States

(collectively “SharePoint Designs”, “we”, “our”, or “us”).

We collect, use, disclose, and safeguard personal data when you visit our websites, use our services, or interact with us globally.

1. Scope of This Policy

This policy applies to:

  • Users of our software or services
  • Business contacts and partners

Our services are intended for business and enterprise users.

2. Personal Data We Collect

We collect personal and organizational data in the following categories:

2.1 Personal Identifiers

  • First and last name
  • Business email address
  • Phone number
  • Job title and department
  • Company name and business address

2.2 Technical & Device Data

  • IP address
  • Browser and device type
  • Operating system
  • Usage patterns and page visit data
  • Cookies and tracking identifiers

2.3 Organizational & Tenant Information

  • Microsoft 365 Tenant URL
  • Tenant domain names
  • Environment configuration details required for deployment and support

2.4 Payment & Transaction Data

  • Billing details
  • Transaction identifiers
  • Payment method metadata (processed securely; we do not store full card numbers)

2.5 AppSource Product License Data

  • Business email address
  • Full name
  • Microsoft 365 / Azure Active Directory tenant identifier

This data is collected specifically in connection with your use of our Microsoft AppSource products (such as the Intranet Portal Application) and is used solely for license validation, activation, seat allocation, and subscription administration. It is separate from and more limited than the data described in Sections A–D above, which relate to our website, consulting services, and business communications generally.

3.Data Handling for SharePoint Designs Products

This section applies specifically to your use of SharePoint Designs' products distributed via Microsoft AppSource (such as the Intranet Portal Application).

3.1 Limited Data Collection:

For these products, SharePoint Designs collects only the data described in Section 2.E above (business email, name, Microsoft 365 tenant identifier), for the sole purpose of license management.

3.2 No Collection of Application Content:

SharePoint Designs does not collect, store, or access any Content, files, lists, or other data that you or your users create, upload, or manage within these products. Components such as the organization chart web part and similar directory or people-related components retrieve and render data entirely within your own Microsoft 365 tenant, using your existing Microsoft Graph and SharePoint permissions, and do not transmit any data to SharePoint Designs.

3.3 Storage and Retention:

License management data is stored on Microsoft Azure infrastructure and retained for the duration of your active subscription, plus any period required for renewal, billing, and audit purposes, consistent with Section 7 (Data Retention) of this Policy.

4. How We Collect Data

We collect data when you:

  • Use contact forms or request demos
  • Register for services or downloads
  • Visit our website (tracking tools)
  • Interact with support or communications
  • Provide tenant configuration info during onboarding
  • Automatically, upon your activation or license validation of a Microsoft AppSource product (e.g., during installation or subscription activation of the Intranet Portal Application)

We also collect technical data automatically via cookies and analytics tools.

5. Legal Bases for Processing

Where applicable, our legal bases include:

  • Contract performance: to deliver services you’ve requested
  • Legitimate interests: operational needs such as analytics, fraud prevention, service improvement
  • Legal obligations: compliance with law enforcement or legal mandates
  • Consent: where required (e.g., tracking cookies)

We process personal data for purposes including:

  • Service delivery and integration
  • Customer onboarding and support
  • Billing and payment handling
  • Product improvement and analytics
  • Security, monitoring, and fraud prevention
  • Communications about services and updates
  • License validation, activation, and subscription management for our Microsoft AppSource products

8. Data Retention

We retain personal data only as long as necessary:

9.1 Right to Withdraw Consent

Where we rely on your consent to process personal data, for example, non-essential cookies (analytics or marketing) placed through our website, or certain marketing communications, you have the right to withdraw that consent at any time.

Withdrawing consent is as easy as giving it. You can withdraw consent by:

  • Adjusting your cookie preferences at any time via "Cookie Preferences" in the footer of our website; or
  • Clicking the unsubscribe link included in any marketing email; or
  • Emailing privacy@sharepointdesigns.com with your request.

Withdrawing consent does not affect the lawfulness of processing carried out before your withdrawal. It also does not affect any processing we carry out on a different legal basis. for example, license management data (email, name, and Microsoft 365 tenant ID) collected in connection with your use of our Microsoft AppSource products is processed on the basis of contract performance, not consent, and cannot be withdrawn in the same way; that data is instead governed by the retention and deletion terms in Section 8 of this Policy and our Data Processing Agreement.

9.2 How to Exercise Your Rights

Submit a request to privacy@sharepointdesigns.com with a description of your request and the right you wish to exercise. We aim to respond within 30 days of receipt, consistent with applicable data protection law. If your request is complex, we may extend this period by up to two further months and will notify you if this applies, along with the reason for the delay.

10. International Data Transfers

Your data may be transferred and processed in countries including India and the United States. Safeguards are applied to protect data.

11. Children’s Privacy

Our services are not intended for children. We do not knowingly collect information from persons under the age of 16.

12. Changes to This Policy

We may update this policy periodically. The updated version will be posted with a revised effective date.
